This policy describes the information BarnSales processes to operate dealer workspaces and public dealer websites. Dealer records are tenant-scoped, and public inquiry information is routed to the dealership whose site received it.
1. Information processed
- Account identity, verified email, profile name, role, permissions, and invitations.
- Dealer business, location, branding, subscription-status, and integration configuration.
- Inventory, source records, photos, repair evidence, customers, inquiries, quotes, tasks, and audit history entered or approved by authorized users.
- Basic technical and security information needed to authenticate requests, diagnose failures, and protect the service.
2. How information is used
Information is used to authenticate users, enforce dealership boundaries, operate requested workflows, generate human-reviewed drafts, maintain audit records, route public inquiries, support subscriptions, prevent abuse, and improve reliability.
3. Public dealer websites
Published dealer names, logos, contact details, locations, approved inventory, pricing, and dealer-authored content may be publicly visible. A website inquiry sends the information the visitor submits to that dealer’s private customer queue and creates an internal follow-up.
4. Service providers and connected systems
BarnSales uses infrastructure and connected services needed to host the application, authenticate users, store data, and perform integrations selected by the dealer. Information is shared only as needed for those functions or when required by law. BarnSales does not give one dealership access to another dealership’s records.
5. Retention and requests
Records are kept while needed to provide the service, preserve authorized audit history, protect security, and meet applicable obligations. An authorized dealer owner may request export, correction, cancellation, or deletion review. A request is verified before action, and some records may need to be retained where legally or operationally required.
6. Security and user responsibilities
BarnSales uses authentication, tenant-scoped database policies, private storage controls, and restricted server workflows. No system can promise absolute security. Users should protect their email accounts and devices, invite only authorized people, and report suspected access problems promptly.
7. Children and sensitive information
BarnSales is a business service and is not directed to children. Users should not enter payment-card numbers, government identifiers, health records, account passwords, or other information that the requested dealer workflow does not require.
Privacy questions and data requests must be submitted through an authenticated dealer-owner process so BarnSales can verify the requester and the dealership in scope.
